COVID safe systems

Terms and conditions for attending the live conference require all conference attendees to align with CIfA's COVID-19 safe systems of work for members, volunteers, and staff. This means all attendees will need to take a lateral flow test before arriving in person. All attendees must wear a mask in all public and conferencing spaces within the hotel. There will be designated areas for food and drink where masks are not required to be worn. If you are medically exempt from wearing a mask, please send an email to conference@archaeologists.net and we will ensure to make a note on your registration.

Socials

We will have a drinks reception and optional dinner on the opening night of conference at the Bath Brew House. While we will make every effort to keep our activites as COVID-safe as possible, there is an inherent element of risk to these events. If any attendees are high risk, we encourage you to bear this in mind when deciding whether or not to attend the social.

The dinner social will serve food buffet style. Masks will be required when collecting food. By registering for that event, you agree that you will wear your mask while queuing for and collecting food.

This event is scheduled, but plans may change due to the current status of the COVID-19 pandemic. If CIfA determines that hosting any part of the live aspects of the conference would not be appropriate, any paid fees will be reimbursed.

Virtual conference platform

We will be using the Cadence platform for the CIfA2022 virtual conference which may display your name and allow other conference attendees to contact you through the platform through a text-based chat. In order to facilitate your login to the Cadence platform, your name and email address will be shared with Cadence for the purpose of creating your login only. Your email address, employer and any other identifying information you provide below will not be shared with any other party. Once logged into the Cadence platform, you can choose whether you wish to interact with other attendees through the chat or live feeds features or whether you may wish to complete your own 'attendee profile' and opt into sharing your personal information, by way of a biography. The participation in text-based chat, live feeds, display of your profile and other features of the platform are entirely optional.

You are responsible for procuring the necessary equipment in order to access the online conference (computer, tablet or mobile phone) including internet access, ensuring that it is compatible with Cadence's web-based platform and Zoom. CIfA cannot be held responsible for the reliability, availability, speed or quality of the internet access that you choose to use to access the conference and any disruption that might be caused by telecommunication issues outside of our control.
 

Conference sessions and recording

As the conference sessions will be conducted via Zoom, your name may be listed in the Zoom participant list. By registering you understand your name may be visible to anyone participating in the meeting.

Within the conference platform we have also made it clear which sessions are seminar-based and which are discussion-driven. For discussion-driven sessions, your video and microphone will be switched off by default when joining these sessions, giving you the choice to switch these on to participate in the discussion, or to leave these off if preferred. Some sessions may be recorded to be viewed on-demand by conference attendees. Sessions that are being recorded will also be clearly indicated and you can choose whether to participate in these sessions or if you wish to share your video/audio.

Access to the conference

The URL to our conference platform as well as your username and password will be emailed to you in the week prior to the conference. Please carefully check your email address above as this will be the email address we use to send you your login information. If you haven't received this before Wednesday, 20 April 2022, please contact conference@archaeologists.net immediately so that we can resend this to you.

Your registration allows you access to the overall event and the sessions being hosted on the day you attend as well as access to recorded content through the conference platform. Whilst every effort is made to anticipate demand, admission to particular sessions, discussions, workshops cannot be guaranteed. Your user name and password cannot be shared or used by any person other than yourself and any sharing or dissemination of log in details would be considered a breach of our terms and conditions of registration - any substitutions must be advised prior to the start of the conference as outlined below. 

Presentations and Content

Through participating in the conference you may be granted access to presentation materials such as papers, slides, audio/video and recorded sessions. These may be used solely for your own internal, non-commercial purposes and unauthorised distribution is not permitted. As an online conference will incorporate virtual seminars, workshops, discussions, meetings, one-on-one chat, group chat and other forums, information, opinions and comments are those of the presenters/delegates and may not be held as a reflection or a representation of those of CIfA. 

Event & Marketing Communications

By registering to attend CIfA2022, you agree that CIfA can contact you directly via email to provide further information about the sessions, speakers, timetable, platform features, changes to the programme and other important conference information. 

Payment Terms

In completing and submitting the CIfA2022 registration form, you have registered your intent to attend the CIfA2022 conference. CIfA have offered two methods of payment: Pay with Paypal - where you can use the Paypal service or a credit card to pay for your conference registration. The second option, Pay Later, will generate an invoice for payment of the conference registration. Invoice terms are 30 days from receipt. Full payment must be received prior to the conference in order to gain entry to the online platform.

Refunds and Substitutions

A full refund may be given on cancellations up to one week before the event. Within one week, a 50% refund will be given up to the day before your attendance. Once the conference has started, refunds may only be given in exceptional circumstances as all conference content will be recorded and available to conference delegates to view on demand at any time following the conference. To request a refund, please email us at conference@archaeologists.net.

Substitutions will also be permitted prior to the commencement of the conference (24 April 2022) if you're unable to attend and wish to offer your place to a colleague to attend in your place. Harassment

CIfA2022 is dedicated to providing a harassment-free conference experience for everyone, regardless of gender, gender identity and expression, sexual orientation, disability, physical appearance, body size, race, age, religion, nationality, education, experience, career or speciality. By registering above you confirm you have read our CIfA2022 online conference harassment page and understand that any form of harassment, discrimination and bullying is unacceptable and will not be tolerated at CIfA2022.
